Overview: Quinnipiac University invites applicants for the position of School of Medicine Capstone Program Assistant. Reporting to the Director of Student Research, the Capstone Program Assistant is responsible for providing administrative support for the coordination and implementation of the four-year Scholarly Reflection and Concentration/Capstone course at the School of Medicine. The program assistant plays a vital role in supporting operations and project coordination for the course and student research projects. The position performs high-level critical administrative tasks in support of the pre-clerkship curriculum.

Responsibilities:
  • Provides high level administrative support, ensuring the day-to-day operations are efficient and effective. Ensures the appropriate materials are copied and uploaded and all logistics are coordinated appropriately and coordinates complex schedules and course curricular calendars.

  • Complies with LCME accreditation standards by maintaining confidentiality regarding student academic records, grades and scheduling confidential student appointments with course leadership; appropriately handling sensitive documents such as tax forms and CVs; and ensuring accuracy of work products to meet accreditation requirements and program standards for student research experiences and to facilitate optimal student learning.

  • Accurately maintains the curriculum in the learning/content management system including uploading course materials and updating course hyperlinks in multiple connected courses/sites/platforms; ensuring the timely posting of lecture recordings; updating assessment and evaluation related items; and accurately mapping the course curriculum in an assessment platform for faculty grading and curriculum tracking in accordance with medical education program and accreditation standards.

  • Uses strong attention to detail, proofreading, grammar, and editing skills to maintain high-quality print and computer-based curricular materials; edits and formats materials to conform with accreditation standards and branded templates to help ensure compliance with program accreditation needs.

  • Coordinates financial transactions, including entering requisitions and expenses, assisting students with capstone purchases including conference travel, maintaining appropriate documentation for transaction support, processing expense reports, processing invoices, submitting faculty payments, distributing annual budget reports to students, procuring supplies, and transferring funds in accordance with department policies and procedures.

  • Obtains documents to facilitate onboarding faculty research mentors in compliance with program requirements and standards. Maintains a tracking system and submits materials to the appropriate dean(s) for faculty appointment consideration in accordance with LCME accreditation requirements. t

  • Reserves appropriate classroom and event space for course needs, procures resources for the delivery of the curriculum.

  • Maintains schedules; maintains up-to-date tracking system for student absences from mandatory course activities.

  • Provides event and meeting support to ensure course and event technology run smoothly. including entering media requests, setting up and breaking down displays, creating zoom links, and creating IT support tickets for course faculty and guest speakers.

  • Fosters and maintains open and ongoing professional communication with all internal and external stakeholders. Maintains professionalism in all interactions.

  • Coordinates and supports curriculum committees, schedules course related meetings, prepares meeting materials, and takes meeting minutes as needed.

  • Use strong organizational skills to implement a clear file management structure to facilitate access to curricular materials.
  • Provides cross coverage and/or support to others administrative assistants. .

  • Other clerical duties as assigned.
Education Requirements:
  • High School Diploma or GED required
  • Bachelor's Degree preferred
Qualifications:

Demonstrated high-level administrative experience, including:

  • Advanced technology skills and ability to quickly learn and use databases, software platforms, and content management systems.
  • Advanced Microsoft Office proficiency, including mail merge, document formatting, and coordination of multiple Outlook calendars.
  • Proficiency in Adobe Acrobat Pro; experience with Adobe InDesign a plus.
  • Excellent attention to detail and organizational skills.
  • Excellent verbal and written communication, editing and proofreading skills.
  • Proficiency in data entry; understanding of accounting principles .
  • Event support experience and excellent customer service skills.
  • Ability to work with diverse populations and a commitment to diversity and inclusion.
