Overview: Quinnipiac University invites applications for the position of Administrative Assistant in the College of Arts and Sciences.  This position will provide administrative support to the Dean, Associate and Assistant Deans, and perform other assigned duties.

Responsibilities:
  • Executing clerical work including word processing, data entry, filing, basic budgeting, composing emails and other correspondences, answering phone calls, taking messages, and routing all calls and messages as needed.
  • Being available to and helping to answer inquiries from faculty, staff, students, alumni, visitors, and others on University policies including information contained in the academic catalog and the student handbook, and directing more complex inquiries to the appropriate offices and employees.
  • Helping with procurement and budgeting, including purchase requisitions, credit card purchases, reconciliation, and providing clerical support for grants. 
  • Maintaining a friendly and welcoming office environment by answering general inquiries from faculty, staff, students, and visitors, on university policies (e.g. academic catalog and student handbook) and directing more complex inquiries to the appropriate offices and employees.
  • Providing support for communications for the College: source and generate content for social media and manage and monitor the college’s social media presence, curate content and production of materials for the college website and brochures promoting the college; organize a college-specific digital newsletter for alumni/friends of the college.
  • Supporting the Department of Psychology (including the Behavioral Neuroscience program) and the Department of Sociology and Anthropology.
  • Supporting faculty travel planning for faculty in CAS, as well as the CAS Intellectual and Cultural Events program and the Hawley-Platt Events.
  • Accurately entering class schedules and assisting with student registration in assigned departments
  • Maintaining confidentiality of records and information in dealing with faculty, staff, and student employees.
  • Assist with travel and event planning for majors and faculty. This includes arranging meetings, handling expenses connected with travel and events, notifying participants, and arranging materials, food, and facilities.
  • Assisting with procurement and budgeting, including purchase requisitions, credit card purchases and reconciliation for assigned departments and occasional faculty grants.
  • Assisting with mail delivery and picking up packages as needed.
  • Work collaboratively as part of a large administrative support staff team and provide backup coverage for other CAS administrative assistants and offices when needed.
  • Attending meetings and workshops as directed.
  • Other duties as directed by Chairs in assigned departments, the Dean, and Associate and Assistant Deans.
Education Requirements:
  • High School Diploma or GED required
Qualifications:
  • 1 to 3 years’ experience working in high traffic office setting
  • Strong communication and interpersonal skills
  • Attention to detail and excellent organizational skills
  • Proven ability to collaborate effectively with individuals from varied backgrounds
