Overview:

Quinnipiac University invites applications for the position of Program Assistant.  This position will perform administrative, staff and student assistance functions required for the effective operation of the Office of International Students and Scholars and Division of Student Affairs. Serve as a Designated School Official (DSO) and Alternate Responsible Officer (ARO) in the Student and Exchange Visitor Information System (SEVIS) to provide the reporting support for the University to maintain compliance for its international student population. Advise, investigate, and resolve questions for prospective and current international students in areas of Admissions, Registration, Auxiliary Services, Student Employment, local resources (Banking, Department of Motor Vehicles, Social Security, etc.) and federal visa regulations. Contact student advisors, colleges, or other university departments to clarify situations, as necessary; intercede and/or advocate on the student’s behalf. Assist Director with programs/services to support international students and encourage domestic students to participate in programs open to all.

Please note:  Quinnipiac University cannot sponsor or facilitate any work authorization for the role of Designated School Official (DSO). Due to the Department of Homeland Security’s requirements for all DSO roles, as defined in 8 CFR 214.3 (l)(1) (see Regulations page of ICE.gov.), all applicants for this role must have unrestricted independent authorization to work as a DSO for Quinnipiac University by qualifying as either a U.S. citizen or permanent resident. By law, Quinnipiac University will be required to provide proof of the DSO’s U.S. citizenship/permanent residence to the Department of Homeland Security.

Responsibilities:
  • Provide an excellent internal and external customer service for all student, faculty, staff, and guests to the Office of International Students and Scholars and the Division of Student Affairs via walk-in traffic, phone, and email by demonstrating effective listening, diplomacy, timely direction, and availability to all inquiries.
  • Perform integral immigration-related data entry and request processing in a variety of software programs, including but not limited to routine updates to international student records in Student and Exchange Visitor Information System (SEVIS), Terra Dotta, Colleague, Slate UGR/GRD, and other internal student software programs.
  • Assist prospective and currently enrolled international students in submitting and securing the documentation necessary for various processes, such as obtaining the I-20 or DS-2019 immigration documents, the F-1/J-1visa, social security number, driver’s license, U.S. bank account, and more. Serve as conduit for external/internal contact for timely resolution of these issues, as needed.
  • Serve as a Designated School Official (DSO) and Alternate Responsible Office (ARO) in SEVIS. Assist the Director of International Student Services in the maintenance of accurate, confidential international student immigration records to be in compliance with federal regulations.
  • Provide a travel signature on the I-20 immigration document for F-1 students or DS-2019 of J-1 exchange visitors when needed.
  • Utilizing tact and discretion, assist the Director of International Student Services in advising and proactively educating a broad range of students from diverse backgrounds on a variety of topics including visa status maintenance, university policies, student software programs (MyQ, QStart, Self-Service), student employment, travel, administrative processes, health insurance, cultural adjustment, personal issues, and other financial or academic matters, referring to the Director as needed.
  • Support in the planning, delivery, and evaluation of a variety of programs and events coordinated by the Division of Student Affairs, including international orientation, information sessions, student activities, excursions, and Student Affairs programming efforts.
  • Assist with the production of the annual International Student Handbook, International Orientation presentations, weekly International Newsletter, and student forms to reflect current federal visa regulations and university policy.
  • Participate in assessing the daily activity of the Division, make recommendations for improvement and assist in the development of presentations and marketing materials for the Division of Student Affair’s mission, objectives, and programs.
  • Provide general administrative support to the Division, including management of office calendar, general inbox, reports, purchase requisitions and requests, budget expenses, and requests for payments.
  • Use the Microsoft Office suite for word processing duties, creating spreadsheets, forms, or presentations as appropriate.
  • Manage front desk operations, including assisting with the supervision of student workers and graduate assistants.
  • Other administrative duties as assigned.
Education Requirements:
  • High School Diploma or GED required
  • Bachelor's Degree preferred

  • Experience in data analysis and proficient in use of Excel spreadsheets.
  • Demonstrated success working in a team environment.
  • Demonstrated success working with a multicultural/international population, particularly with multilingual learners.
  • Demonstrated ability to maintain confidentiality.
  • Strong organizational skills and attention to detail.
  • Excellent written, verbal, and cross-cultural communication skills.
  • Proficiency to work independently.
  • Ability to multi-task in a fast-paced environment.

Preferred:

  • Familiarity with Terra Dotta immigration software or similar case management systems.
  • Experience with Colleague, Slate, or similar student records database.
  • Working knowledge of basic immigration regulations related to F-1 and J-1 students and scholars.
  • Ability to interpret and apply standardized federal regulations and institutional policies to the individual circumstances of the office clientele.
  • Experience with basic project and/or event management.
  • Experience in a position of similar responsibility is desirable.
