Overview:

Quinnipiac University invites applicants for the position of Administrative Assistant in the School of Computing & Engineering. This position will provide administrative assistant support for the Program Directors/Department Chairs and faculty of the School of Computing & Engineering as well as act as liaison between the school and other university offices.


The ideal candidate will have the ability to multi-task in a fast-paced environment, work within a team structure, and have good interpersonal skills in daily interactions with faculty, staff, students, and university officers.

Responsibilities:
  • Maintain the efficient operation of the SCE programs.
  • Assist in the operation of the SCE program.
  • Maintain the calendars of each of the Program Directors/Department Chairs.
  • Use University software to perform duties such as correspondence, meeting minutes, spreadsheets, reports, forms, and memos. Edit work for accuracy, format, spelling, punctuation, and construction. Assure timely completion of all material.
  • Have knowledge of Quinnipiac procedures, catalog, and the student handbook; answer questions within scope of knowledge and authority.
  • Take responsibility for the organization, maintenance, and filing of appropriate professional files related to faculty, staff and students. Update department, course, and student records for faculty by using university software.
  • Arrange conferences and meetings as required, notify participants, and arrange for all materials, food, facilities, travel arrangements and support functions.
  • Assist with the organization, preparation and ordering for events such as Welcome Weekend, Hard Hat Ceremony, Projects Day and other events.
  • Order office supplies, computer equipment, promotional supplies and items for special events as needed for each of the Program Directors/Department Chairs.
  • Maintain program records and verify availability of funds in program budgets. Process on-line requisitions and submit purchase and reimbursement requests.
  • Be the point of contact with the Registrar’s Office for faculty.
  • Maintain confidentiality of all records and information concerning faculty and students.
  • Supervise work study students with tasks in the department.
  • Gather and enter data for the preparation of various reports/documents.
  • Assist in searches for faculty by mailing correspondence and maintaining materials submitted by candidates.
  • Review and distribute incoming mail and prepare outgoing shipments.
  • Other duties as assigned.
Education Requirements:
  • High School Diploma or GED required.
Qualifications:
  • Demonstrated technical skills with Microsoft Office Suite applications, including advanced proficiency in Word, Excel, and PowerPoint.
  • Proven proficiency in an administrative assistant role including proficiency in multiple calendaring programs with proven ability to manage complex calendars.
  • Strong problem solving, organizational and analytical skills.
  • Exceptional interpersonal skills to deal with a wide variety of individuals.
  • Ability to work in a fast-paced and complex team environment with a positive attitude, with the ability to take initiative, maintain discretion and confidentiality and work with little supervision.
  • Preferred prior experience in a senior level administrative role supporting high level faculty or executives.
  • Proven ability to collaborate effectively with individuals from varied backgrounds.
