Overview: Quinnipiac University invites applications for the position of Administrative Assistant, Global Health in the School of Medicine.  Under the supervision of the Associate Director of Global Public Health programs and the Director of the Institute for Global Public Health, the candidate will perform administrative duties crucial for fostering inclusivity and diversity within required to support the Global Public Health (GPH) programs at the undergraduate and School of Medicine levels, and the community engagement program in the School of Medicine. As the new Master’s in Public Health program develops this position will also contribute time and effort toward building this program.

Responsibilities:
  • Maintain phone coverage, take messages, relay information, and respond to e-mails with inclusive language and sensitivity to diverse cultures and practices. Handle public contact efficiently and professionally. Have knowledge of Quinnipiac procedures, answer questions within scope of knowledge and authority. Prioritize and evaluate the level of urgency of constituents’ needs.
  • Maintain an accurate and up-to-date community engagement database.
  • Monitor medical students’ progress in their community engagement requirements. Ensure timely student and community site submission of all necessary forms and documentation. Notify the Associate Director of students who are falling behind in fulfilling their requirements. Engage the Office of Student Affairs as needed.
  • Record undergraduate student progress in the GPH minor. Ensure timely submission of all necessary forms and documentation, including community engagement and international experiences.
  • Organize and maintain a filing system (paper and/or electronic) for all pertinent data/information related to the GPH minor, community engagement, as well as the activities/functions of these programs so that it is readily accessible.
  • Assist with organizing the GPH minor application process, including compiling and uploading supporting documentation to the online application.
  • Use Quinnipiac’s systems fully and effectively for processing requisitions and reimbursements, particularly as relates to student travel. Aid faculty with ordering approved course materials.
  • Arrange meetings, interview schedules, and travel as required, notify participants, and arrange for all materials, food, facilities, AV equipment, budgets, and support functions, particularly as this relates to recruitment of faculty for the MPH program. Assist with the organization, preparation and ordering for open houses, information sessions and other Institute events.
  • Use University software and hardware to prepare, disseminate, or duplicate course/program specific correspondence, spreadsheets, meeting minutes, reports, grants, forms, course materials, and memos. Edit work for accuracy, format, spelling, punctuation, and construction. Assure timely completion of all material.
  • Attend, document, maintain, and post minutes for any meetings related to the GPH, community engagement, and MPH programs.
  • Other administrative duties as assigned.
Education Requirements:
  • High School Diploma or GED required.
Qualifications:
  • Minimum of 1-3 years of experience in an administrative role.
  • Demonstrated technical skills with Microsoft Office applications, including Word, Excel, and Outlook.
  • Proven proficiency in an administrative assistant role including proficiency in calendaring, travel arrangements, and event coordination.
  • Strong problem solving, organizational, and analytical skills.
  • Exceptional interpersonal skills to deal with a wide variety of individuals.
  • Demonstrated ability to work with diverse populations and a commitment to diversity and inclusive excellence.
