Quinnipiac University's Office of Human Resources is seeking a detail-oriented and proactive Talent Acquisition Specialist to support the Director of Talent Acquisition in all aspects of recruitment, hiring, and onboarding. This role is critical to ensuring a seamless hiring process and a positive experience for both candidates and new hires while maintaining the back-end functionality of the applicant tracking system (ATS). A strong technical aptitude and the ability to understand and manage the technical aspects of an ATS, preferably PageUp, are essential for success.

Responsibilities |
Recruitment and Talent Sourcing
- Collaborate with the Director of Talent Acquisition to develop and execute recruitment strategies for various roles
- Post job openings on appropriate platforms, ensuring accurate and engaging descriptions
- Screen resumes and applications to identify qualified candidates
- Schedule and coordinate interviews, maintaining communication with candidates and hiring managers
- Assist in conducting initial phone screenings and gathering relevant candidate information
- Support the offer process, including preparing offer letters and managing documentation
Onboarding and Candidate Experience
- Monitor new hire onboarding tasks and coordinate with internal teams to ensure a smooth transition for new hires
- Build strong relationships with candidates to create a positive candidate experience
- Support the new hire experience assigning network associates and maintaining/creating electronic new hire onboarding binder
Applicant Tracking System and Back-End System Management
- Maintain accurate and up-to-date records in the applicant tracking system and other university systems
- Manage back-end system configurations in the ATS, including updates to workflows, form fields, and system settings
- Implement changes to recruitment statuses, templates, and communication processes to streamline recruitment operations
- Develop and maintain communication templates for system-generated messaging
- Ensure data integrity, troubleshoot system issues, and collaborate with the ATS service team to resolve technical challenges
Customer and Stakeholder Support
- Provide consultation to search committees and hiring managers on recruitment strategies and applicant tracking system functionalities.
- Respond to inquiries and correspondence from internal and external stakeholders
- Prepare reports and documents as required for administrative reviews
- Work closely with cross-functional teams within HR, sharing insights and contributing to broader HR initiatives. Collaborate with colleagues to support HR programs, employee relations, and performance management, offering input and solutions that align with overall HR goals
Data Analytics and Reporting
- Collaborate with the HR Operations and Analytics team to understand reporting requirements and assist in formulating, editing, and generating reports within the applicant tracking system (ATS) based on functional needs. Maintain and analyze recruiting metrics to provide data-driven insights and recommendations that support talent acquisition strategies

Education Requirements: |
- Bachelor's degree required
|
Qualifications: |
- A minimum of 3 years of experience in recruitment/talent acquisition is required
- Strong technical background or the ability to understand the technical intricacies of an applicant tracking system is required; knowledge of PageUp preferred
- Demonstrated experience with the full life cycle of recruitment, including position descriptions, job postings, applicant screening, offers, and onboarding
- Exceptional organizational and multitasking skills with strong attention to detail
- Familiarity with sourcing strategies and tools, including social media outreach, job board advertising, and ATS-based campaigns.
- Ability to understand, formulate, and edit reports within the applicant tracking system (ATS) based on functional needs. The ideal candidate should possess a general understanding of reporting processes and be able to collaborate with the HR Operations and Analytics team to support recruitment/new hire data and reporting needs
- Exceptional verbal and written communication abilities with outstanding interpersonal skills
- Proficient skills in the Office 365 suite
- Strong project management skills and the ability to work both independently and collaboratively in a fast-paced environment
- A team player with the ability to collaborate effectively across various HR functions. Ability to provide valuable insights into different aspects of HR, contributing to a cohesive and effective HR strategy
- Proven ability to collaborate effectively with individuals from varied backgrounds.
